01Who this covers

This policy covers the website otopromo.biz, in both English and French. It does not cover the separate agreements we sign with clients, or the ad accounts we manage on a client's behalf — those are governed by the contract between us.

Otopromo is based at 1055 Chemin du Côteau, Terrebonne, Québec J6W 5Y8, Canada.

02What we collect

Information you send us

The contact form on this site does not send anything to a server. It opens your own email application with the fields filled in, and nothing is transmitted until you press send. What reaches us is an ordinary email containing whatever you chose to put in it — typically your name, phone number, email address and message.

If you book a meeting, that happens on BookMeNow, a separate service. What you enter there is handled under their privacy policy, not ours.

Information collected automatically

• Google Analytics 4 — pages viewed, approximate location, device and browser type, and how you arrived. It sets cookies beginning _ga.
• Meta Pixel — page views used to measure our advertising on Facebook and Instagram, and to build advertising audiences. It sets a cookie called _fbp.
• Server logs — our host records standard request data, including IP addresses, as part of running and securing the site.

We do not ask for, and this site does not store, payment details, government identifiers, or any sensitive personal information.

03Why we collect it

• To answer you when you get in touch.
• To understand which pages are useful so we can improve the site.
• To measure whether our own advertising is working.
• To keep the site available and secure.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

04Cookies and tracking

Google Analytics and the Meta Pixel both set cookies and both run when you open the site. You can stop them in several ways:

• Block or delete cookies in your browser settings.
• Install Google's Analytics opt-out add-on.
• Adjust your ad preferences in your Facebook or Instagram account settings.
• Turn on Global Privacy Control in a browser that supports it — this site treats that signal as a refusal and switches both off.

05Who else sees your information

A small number of service providers necessarily handle data as part of running the site: Google (analytics), Meta (advertising measurement), GoDaddy (hosting), Proofpoint (email filtering) and BookMeNow (meeting scheduling). Each has its own privacy terms.

Google and Meta are based in the United States, so analytics and advertising data is processed outside Quebec and outside Canada, under the laws of that country. If that matters to you, the opt-outs in section 04 prevent it.

We will also disclose information if the law requires it.

06How long we keep it

Emails you send us are kept for as long as we need them to answer you and to keep a record of our dealings, then deleted. Analytics and advertising data is retained according to Google's and Meta's own retention settings.

07Your rights

Under Quebec's Law 25 and Canada's PIPEDA you can ask us to:

• tell you what personal information we hold about you;
• correct it if it is wrong or incomplete;
• delete it, or stop using it, where the law allows;
• withdraw a consent you previously gave.

Write to info@otopromo.biz and we will respond within 30 days. If you are not satisfied with our answer, you can complain to the Commission d'accès à l'information du Québec or to the Office of the Privacy Commissioner of Canada. If you are in the European Economic Area or the United Kingdom, you may also have rights under the GDPR and can complain to your local authority.

08Security

The site is served over HTTPS and we keep access to our email and accounts limited to the people who need it. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

09Children

This site is aimed at businesses. We do not knowingly collect personal information from children. If you believe a child has sent us information, write to us and we will delete it.

10Changes

If we change this policy we will update the date at the top of this page. Significant changes will be noted here.
